TITLE: NOYCE GRANT ASSISTANT
DEPARTMENT: EDUCATION

SALARY: $12.00 PER HOUR
REQUIREMENTS: High School Diploma or its equivalent; one to two years of secretarial/clerical experience; excellent communication skills; strong interpersonal skills; technologically literate and have working knowledge of office machines; organized and detail oriented; willing to play an active role in recruiting competitive applicants to the graduate programs at Trinity University; proficient in the use of English, business math and spelling; ability to work under pressure to meet office deadlines; ability to handle confidential information in a professional manner; ability to interact with faculty, staff, students and visitors in a professional manner; be available to participate in occasional events that occur after business hours or weekends; ability to handle multiple priorities.
PREFERRED: Bachelor's Degree or some college course work.
DUTIES: Part-time grant assistant is responsible for providing routine secretarial and clerical support to the Noyce Grant programs administered by the Department of Education; serves as a first point of contact to answer questions about the program to members of the public by phone, email, and in person; collects and organizes basic information about potential grant applicants; types routine correspondence, memos, reports, portions of manuscripts, grant proposals, exams, class handouts, syllabi, using Microsoft Office; assists in planning and managing recruiting events, both on and off-campus; runs errands, copies and collates materials for distribution; provides administrative support to various grant funded programs including: summer internships, receptions, panel discussions, and professional development workshops at area schools; assists in data collection related to annual alumni and employer surveys; assist Academic Office Manager with receptionist duties: answering phones, taking messages, greeting visitors and providing information; performs other duties as assigned.

SCHEDULE: FULL-TIME, REGULAR; MAY INCLUDE 2-3 SATURDAYS PER YEAR.
SALARY: $13.9861 PER HOUR
REQUIREMENTS: High school diploma or its equivalent; college or university secretarial or related experience; must have experience with financial records and proficiency with EXCEL spreadsheets; ability to work with confidential information in a professional manner; excellent written and oral communication skills; excellent proofreading and proper use of the English language, including grammar, syntax, spelling, punctuation, and composition skills; accuracy in business math calculations; thorough knowledge of and the ability to use computers, typewriters, and other standard office machines; ability to interact with faculty, staff and students in a professional manner; ability to handle multiple priorities.

DUTIES: Responsible for providing high level administrative and secretarial support to a department, program or unit requiring independent judgment and initiative; types confidential and/or complex materials, forms, reports manuscripts and grant proposals; may answer phone, greet visitors, take messages, make appointments and provide information; assists with interpretation of policy to faculty, staff, students and visitors and serves as a resource for the University; answers inquiries, follows up on routine activities and responds to problems or complaints without consultation based on standard practices and procedures; tracks budgets (including associated DPOs, travel authorizations, and P-Card transactions) for accounts overseen by the AVPAA: Budget and Research; runs comparisons between current and previous year(s); keeps AVPAA informed of status of these budgets; assists AVPAA in tracking of departmental/program budgets; schedules and attends meeting of the Faculty Development Committee, Institutional Review Board, and Lecturers and Visiting Scholars Committee; assists with agenda preparation, record maintenance and minutes; assists with making arrangements for the DeCoursey and Distinguished Scientists Lecture Series; performs other related duties as assigned.
